Job Description
To provide extraordinary and professional service to internal and external customers, assisting them in their requirements, adhering to company procedures and uplift the image of the company through telephonic conversations and front-line contact. A professional and positive image of Namibia Dairies will be displayed at all times as he/she plays a crucial role in the first and last impression the guest will have of the company.
KEY ACCOUNTABILITIES:
- Operate the switchboard in a speedy, friendly, and accurate manner by answering, transferring calls, and taking clear messages for the relevant persons
- Maintain and update company telephone and speed dial lists timeously
- Ensure the switchboard is manned at all times, limiting personal calls to maintain professionalism
- Generate and manage telephone management system reports
- Warmly welcome guests and external clients in a professional manner
- Greet visitors, determine the purpose of their visit, and direct or escort them to the appropriate destination
- Attend to client needs, including providing directions and general assistance
- Respond to public enquiries and provide accurate information regarding the organisation
- Maintain and ensure completion of all required paperwork, sign-in registers, and security procedures
- Receive, sort, distribute, and prepare mail, messages, and courier deliveries
- Act as a role model in upholding the organisation’s Vision, Mission, and Values
- Maintain professionalism in all communication with clients, customers, and staff
- Ensure housekeeping standards are maintained by keeping the reception area, front desk, Managing Director’s boardroom, and office clean and neat
QUALIFICATIONS & EXPERIENCES:
- Grade 12 certificate
- 2–3 years’ experience in reception, switchboard operations, and general administration
