Job Description
The Department of Journalism and Media Technology at NUST is seeking a forward-thinking and enthusiastic Secretary to manage office operations, coordinate meetings, and provide administrative support to staff and students in a higher education environment.
Key Responsibilities
- Schedule and coordinate meetings, ensuring all logistical arrangements are effectively managed.
- Prepare and distribute meeting minutes promptly.
- Oversee general office operations to maintain an organised, efficient, and smooth workflow.
- Assist with document preparation, including formatting reports, maintaining filing systems, and drafting letters, reports, spreadsheets, and internal communications as required.
- Respond accurately and efficiently to all inquiries, using initiative to resolve issues and collaborating effectively with internal and external stakeholders to facilitate communication.
- Design basic visual content for presentations, reports, and promotional materials.
- Screen telephone calls and visitors, directing them appropriately, and manage the diary and travel arrangements for staff as required.
- Organise workshops and meetings, ensuring all details are finalised and communicated.
- Finalise and distribute minutes from these events and coordinate arrangements for visits and visitors, ensuring a welcoming experience.
- Assist part-time staff members with completing and submitting claims for reimbursement.
- Ensure the smooth functioning of the office and perform any other duties as assigned by superiors.
Requirements
- A Bachelor’s degree or a three-year National Diploma (NQF Level 7) in Office Management; Business Management or Communication.
- Three (3) years of experience as a Secretary or Office Administrator in a large organisation or institution.
- Excellent English communication skills (both oral and written).
- Strong organisational and multitasking skills, and the capacity to manage various tasks efficiently.
- Knowledgeable about office operations, with a strong focus on organisational effectiveness.
- Proficiency in Microsoft Office Suite (Word; Excel; PowerPoint and Outlook).
- Experience in handling organisational events, managing resources, arranging meetings, and taking minutes as required.
- A background in Higher Education will be considered an advantage.
