Transport Officer / Transport Coordinator

Position Purpose
The Transport Officer / Transport Coordinator is responsible for planning, coordination, monitoring, and administration of all employee and operational transport activities across the mining operation.
The role ensures efficient allocation and utilization of company vehicles, coordination of employee transport services, scheduling of requirements, management of contractors, and compliance with company policies.
Key Accountabilities
Transport Planning and Coordination
- Coordinate transport for employees, contractors, visitors, and operational personnel.
- Develop and maintain daily, weekly, and monthly schedules.
- Ensure resources are allocated efficiently to meet priorities.
- Manage requests for shift changes, training, meetings, medical appointments, airport transfers, and business travel.
- Monitor demand and recommend improvements.
Fleet Coordination and Vehicle Allocation
- Manage allocation and utilization of company vehicles.
- Maintain centralized booking and allocation system.
- Monitor availability and utilization rates.
- Optimize fleet use to reduce costs and idle time.
- Arrange replacements during breakdowns or maintenance.
Employee Transport Management
- Coordinate services between mine site and towns/accommodation.
- Align transport with shift rosters.
- Support onboarding and mobilization.
- Handle employee queries and liaise with managers.
Transport Contractor Management
- Act as liaison with service providers.
- Monitor contractor performance and compliance.
- Conduct reviews and inspections.
- Escalate issues and implement corrective actions.
- Participate in contract evaluations and improvements.
Driver Coordination
- Assign drivers based on requirements.
- Monitor availability, hours, and attendance.
- Verify licenses and certifications.
- Ensure compliance with policies.
- Coordinate training and induction.
Fleet Compliance and Administration
- Maintain accurate records and documentation.
- Monitor licensing, registrations, insurance, and roadworthiness.
- Keep logs, usage records, and trip reports.
- Assist with audits and inspections.
Maintenance Coordination
- Schedule servicing, maintenance, and repairs.
- Liaise with workshops and contractors.
- Monitor condition and report defects.
- Ensure safe operational condition.
- Track downtime and minimize disruptions.
Fuel and Cost Management
- Monitor fuel consumption and costs.
- Investigate unusual usage.
- Identify cost‑saving opportunities.
- Prepare utilization and cost reports.
- Support budgeting and forecasting.
Safety, Compliance and Risk Management
- Promote safe practices.
- Ensure compliance with policies and road safety.
- Investigate incidents and near misses.
- Conduct risk assessments and recommend measures.
Reporting and Administration
- Maintain schedules, records, and databases.
- Prepare daily, weekly, and monthly reports.
- Track KPIs and performance indicators.
- Generate management reports and recommend improvements.
Stakeholder Coordination
- Liaise with department heads and HR.
- Collaborate with Security, Logistics, Maintenance, and Operations.
- Assist visitors and contractors.
- Build relationships with service providers.
Health, Safety and Environment
- Comply with company standards.
- Promote safe driving culture.
- Participate in risk assessments.
- Report unsafe conditions and incidents.
Minimum Qualifications
Education
- Grade 12 (NQF Level 4).
- Diploma/Certificate in Logistics, Transport Management, Fleet Management, Supply Chain, Business Administration, or related field advantageous.
Experience
- 3–5 years in transport coordination, fleet administration, logistics, or operations.
- Mining, construction, industrial, or remote‑site experience preferred.
- Contractor management and employee transport coordination advantageous.
- Fleet management/ERP systems beneficial.
