Job Description
Role Purpose
The Contracts Administrator will be responsible for supporting the effective administration, governance, monitoring, and control of contracts within New Horizon Copper’s procurement function. The successful candidate will administer contract lifecycles, maintain contract records and registers, support tender and commercial processes, monitor compliance with contractual obligations, and ensure accurate documentation, reporting, and audit trails.
Key Responsibilities
1. Contract Administration & Governance
- Administer the contract lifecycle from award through execution, amendments, renewals, and close-out.
- Maintain the central contract register and ensure contracts are properly approved, recorded, and filed.
- Monitor contract validity, deliverables, milestones, and contractual obligations.
- Maintain appropriate audit trails and ensure confidentiality of contractual information.
2. Contract Compliance & Risk
- Monitor contractor compliance with contractual terms, SLAs, KPIs, and statutory documentation.
- Identify contractual and commercial risks and escalate matters requiring management or legal attention.
- Support corrective actions and maintain compliance records for active contracts.
- Monitor contractual HSE requirements.
3. Procurement Processes, SOPs & Templates
- Develop, review, and maintain procurement and contract management SOPs, templates, and commercial forms.
- Support standardisation and continuous improvement of procurement and contract processes.
- Ensure procurement documentation aligns with company governance requirements.
4. Amendments, Renewals & Close-Out
- Coordinate contract amendments, variations, extensions, and renewals.
- Ensure required approvals are obtained and contract records remain current.
- Coordinate contract completion, final documentation, outstanding claims, and close-out.
5. Commercial & Service Purchase Order Support
- Support tender preparation, commercial evaluations, and contract negotiations where required.
- Raise and administer service purchase orders linked to approved contracts.
- Monitor purchase order balances, committed expenditure, and alignment with contract values.
- Coordinate invoice queries and contract-related commercial matters with Finance.
6. Supplier, Reporting & Document Management
- Maintain contractor and supplier contractual records and monitor performance.
- Prepare contract status, expiry, utilisation, compliance, and KPI reports.
- Maintain electronic and hard-copy records, version control, and template libraries.
- Support internal and external audits relating to procurement and contracts.
Minimum Requirements
- Bachelor’s Degree in Supply Chain Management, Procurement, Commerce, Business Administration, Law, Quantity Surveying, or a related discipline.
- Minimum of 6 years’ experience in procurement, commercial administration, or contract administration, with relevant experience in mining, engineering, construction, or heavy industrial environments.
- Experience in contract lifecycle management and ERP procurement systems.
- Valid driver’s licence.
- Experience administering service contracts, purchase orders, contract amendments, renewals, close-outs, tender support, and contractor performance monitoring.
- Knowledge of contract administration, commercial contract management, procurement governance, tendering, SLAs, purchase order administration, supplier and contractor management, commercial risk, contract lifecycle management, document control, and ERP procurement systems.
Added Advantage
- Formal training in Contract Management.
- CIPS qualification or progress towards certification.
- Experience in mining, engineering, construction, or heavy industrial procurement environments.
- Experience supporting procurement and contract audits.

- Technical competence in contract lifecycle management, commercial contract administration, procurement governance, SLA and KPI monitoring, purchase order administration, contract risk, ERP systems, reporting, and document control.

Working Conditions
- Mining environment.
- Primarily office-based with occasional site, supplier, and contractor visits.
- Medium to high work pressure.
- Occasional travel to site, suppliers, contractors, and service providers may be required.
