Job Description
PURPOSE OF THE JOB
To administer the full payroll cycle accurately, timeously and in compliance with company and statutory requirements, including payroll inputs, time and attendance, processing, reconciliations, statutory deductions and payroll reporting, with review and oversight by the HR Manager.
KEY RESPONSIBILITIES
- Manage the full monthly payroll process from payroll input preparation through processing, reconciliation and reporting.
- Administer and maintain time and attendance records, including shifts, overtime, standby, leave and other time-related inputs.
- Collect, review and validate payroll inputs including appointments, terminations, salary changes, allowances, deductions, benefits and other payroll changes.
- Perform payroll reconciliations, validation checks and variance investigations before submission for HR Manager review.
- Prepare and reconcile PAYE, Social Security, pension/provident fund and other statutory or third-party deductions.
- Respond to payroll and timekeeping queries and maintain accurate, confidential employee payroll records.
- Promote compliance with HSE requirements, confidentiality standards and responsible payroll administration practices.
MINIMUM REQUIREMENTS
- Diploma or equivalent qualification in Payroll, Human Resources, Accounting, Finance or a related discipline.
- Minimum 3–5 years’ payroll administration experience, preferably in mining, engineering, industrial or processing environments.
- Proven full-cycle payroll processing experience, including payroll inputs, reconciliations and reporting.
- Experience with payroll and timekeeping systems, time and attendance administration and advanced Excel.
- Knowledge of Namibian payroll requirements, PAYE, Social Security, statutory deductions, leave, overtime, standby and allowances.
- High level of integrity, confidentiality, accuracy, attention to detail and ability to work under payroll deadline pressure.
